Job Overview

The Administrative Assistant is responsible for providing comprehensive support to ensure the efficient operation of the office. On a daily basis, this role involves managing schedules, organizing meetings, and handling correspondence. The individual will also be tasked with maintaining office supplies, preparing reports, and assisting with various administrative tasks as needed. The primary objective is to facilitate smooth office operations and support the team in achieving organizational goals.

Duties & Responsibilities

  • Manage and organize office files and documents. Schedule and coordinate meetings and appointments.
  • Answer and direct phone calls and emails.
  • Prepare and edit correspondence and reports.
  • Assist in the preparation of regularly scheduled reports.
  • Order and maintain office supplies inventory.
  • Greet and assist visitors and clients.
  • Handle incoming and outgoing mail and packages.
  • Support team members with administrative tasks. Maintain and update contact lists.
  • Coordinate travel arrangements and itineraries.
  • Perform data entry and maintain databases.
  • Assist in the preparation of presentations and materials.
  • Monitor and manage office equipment and maintenance.
  • Ensure compliance with company policies and procedures.

Education & Training

  • An associate degree or higher in business administration, office management, or a related field is preferred.
  • Certification in office administration or a similar professional credential is advantageous.

Knowledge, Skills & Experience

  • Proficiency in Microsoft Office Suite and other relevant software applications.
  • Strong organizational and time management skills.
  • Excellent written and verbal communication abilities.
  • Ability to maintain confidentiality and handle sensitive information.
  • Experience in administrative or clerical roles, typically 23 years.
  • Strong interpersonal skills and the ability to work collaboratively.
